ExperClinic is a patient communication platform for spray tan and body treatment studios. After every visit, clients get an SMS with two options: leave a Google review or send private feedback. The same platform sends 24 and 48 hour appointment reminders, runs a 14-day reactivation window, and supports two-way SMS for booking and rebooking.

What it does

What spray tan studios use ExperClinic for

Three jobs in a seasonal, event-driven business.

1

Reviews after the result holds

A spray tan that comes off evenly after 7-9 days is the review you want. ExperClinic sends a review request after every completed appointment, addressed to the client. A client who came in for prom or a wedding and saw a clean even tan is your single best reviewer. Every client sees the same two options: Google review or private feedback. The client chooses.

2

Reminders for prep and post-event

Two reminders, 48 and 24 hours before, cover prep instructions: shower the night before, exfoliate, no lotions on the day of. Default-on for spray tan. Patients can confirm or reschedule from the SMS thread, which matters because prom and wedding bookings cluster around fixed dates.

3

14-day reactivation tuned to seasonal repeats

A typical spray tan lasts 7-10 days. Maintenance clients are booking every 2 weeks; event clients drift away after their event. ExperClinic checks every day for clients past their 14-day window and sends a customizable SMS to bring them back.

The problem

Why spray tan studios struggle with reviews and retention

Three problems specific to a seasonal aesthetics business.

Seasonal drop-off

Event clients vanish after the wedding.

A client who came in for their wedding will not come back unless something prompts them. Without reactivation, event clients are one-and-done. The 14-day window captures maintenance clients before they drift; for event clients, a follow-up reactivation 30-60 days later (configurable) keeps them on the radar.

Comparison shopping

Spray tan is heavily price-shopped.

Mobile spray tan competitors and at-home product brands compete on convenience and price. A studio with 200 recent positive reviews wins the comparison even at slightly higher prices. Without volume, the studio loses to whoever has the marketing budget.

Awkward post-tan asks

Clients are standing there in minimal clothing.

The post-tan moment is the wrong time for a front desk to ask for a Google review. The client wants to leave. A post-visit SMS the same evening, after they have seen the result and the color set, is the right time and avoids the awkwardness.

How it helps

How does ExperClinic help spray tan studios?

Five capabilities, all included on every plan.

Automated review requests

Sent at the optimal time of day in your local timezone after every completed visit. Personalized with the client's first name. Two equally-presented options: Google review or private feedback. The client chooses. The 45-day cooldown means maintenance clients are not over-asked.

48-hour and 24-hour reminders

Two reminders per appointment with prep instructions implicit in your SMS template. Default on for spray tan. Each respects practice hours and client opt-outs.

14-day reactivation

Tuned to typical spray tan duration. ExperClinic checks every day for clients past their 14-day window and sends a customizable SMS. Cadence is configurable per practice; maintenance-only studios shorten to 10 days, event-heavy studios lengthen to 30.

Two-way SMS for the questions clients ask

"Should I exfoliate the night before or that morning?" "Can I shower after?" "Do you do mobile?" Replies land in a threaded conversation in your dashboard. Any tech or front-desk staff can respond.

Solo-tech and multi-tech support

Add additional spray tan technicians as separate practitioner records. Each gets blank prefix and a "Certified Spray Tan Technician" or aesthetician suffix. Reviews and feedback are attributed to the right tech.

FAQ

Common questions from spray tan studios

My clients come every 2-3 weeks during prom season. Won't they be over-asked?
No. ExperClinic has a 45-day per-patient cooldown on review requests. A client coming in every 2 weeks during prom season gets asked at most every 6-7 weeks. Across a 3-month prom prep cycle, that is 1-2 review requests, not 6.
How does ExperClinic handle seasonal volume surges (prom, wedding season)?
Plans are tiered by SMS volume. The Starter tier ($129 CAD/month) includes 500 SMS/month; Practice tier ($429) includes 6,000. For peak-season studios with 100+ visits a week, sizing to the peak month, not the average, is the right call. Volume rolls over to nothing; size for the surge.
Why is the reactivation window 14 days?
Because a typical spray tan lasts 7-10 days. A client past 14 days has lost their tan and is in the window where they are likely to rebook. The 14-day reactivation catches them then. Configurable per practice.
My techs are not licensed aestheticians. Are they supported?
Yes. The default credentials for spray tan are blank prefix and no required suffix. Optional suffixes include "Certified Spray Tan Technician" or "Aesthetician" if applicable. The review request SMS uses whichever credentials the tech has on file. Reviews attribute correctly.
What about review-gating?
ExperClinic does not gate reviews. Every client sees the same two options after every appointment: a public Google review or private feedback. The client chooses. ExperClinic never routes clients based on expected sentiment. Review gating violates Google's review policy and the FTC endorsement guides.
What happens when a client texts STOP?
STOP scopes to your practice. The client is flagged as opted out and no further automated SMS is sent. The record stays in your list, just marked. Inbound STOP, START, and HELP are handled per TCPA convention.
Is client data secure?
Yes. ExperClinic is PIPEDA compliant and built for Canadian healthcare requirements. We store patient names and phone numbers only, never clinical content. All data is encrypted in transit and at rest. Optional BAA signing is available for US providers under HIPAA.
