ExperClinic is a patient communication platform for physiotherapy, athletic therapy, occupational therapy, and rehab. After every visit, patients get an SMS with two options: leave a Google review or send private feedback. Reduces no-shows on the appointments that drive your revenue with 24 and 48 hour reminders, plus reactivation for patients who stopped their plan early.

What it does

What rehab practices use ExperClinic for

Three jobs that match how rehab practices already run.

1

Two reminders per session

Recurring weekly or twice-weekly appointments mean the cost of one no-show is repeated across an entire treatment plan. ExperClinic sends a 48-hour and 24-hour reminder before every session, both default on for physio, athletic therapy, and most rehab specialties.

2

90-day reactivation, automated

When a patient finishes their treatment plan and stops booking, ExperClinic's 90-day recall brings them back. Runs every day, in your timezone, with a customizable message. Useful for chronic-pain follow-ups and seasonal injury recurrence.

3

Per-therapist review attribution

Add your physiotherapists, athletic therapists, and OTs as separate practitioners. Each gets their own credentials (PT, MScPT, DPT, or "Registered Physiotherapist"). Reviews and feedback are attributed to the right person, even though the public review still lands on your single Google profile.

The problem

Why rehab practices struggle with no-shows and reviews

Three problems that compound over a treatment plan.

Compounding cost

Recurring appointments turn small no-show rates into large revenue gaps.

A 12 percent no-show rate on a one-off appointment is annoying. The same rate on a 16-session treatment plan means the patient skips two full sessions, which is real money and real schedule disruption.

Mid-treatment drop-off

Patients stop showing up before they are done healing.

The patient feels better at session 8 of 12 and decides they are done. Three months later, the issue returns and they go to a different clinic. A nudge at the right time keeps them on plan.

Shopping behaviour

Patients shop for physiotherapists by Google reviews.

Unlike a family doctor, where patients are usually rostered, physiotherapy is a market where patients actively compare clinics. A practice with 14 reviews loses to one with 140. Manual review-asking does not produce that volume.

How it helps

How does ExperClinic help rehab practices?

Five capabilities, all included on every plan.

48h and 24h reminders

Two SMS reminders per session, both default on for physio. Cuts no-show rate by the published industry benchmark.

90-day reactivation

Bring back patients who finished their plan or paused mid-treatment. Window is configurable per practice.

Post-session review requests

After every completed session, a personalized review request goes out at the optimal time of day in your timezone.

Multi-therapist support

Add as many practitioners as you have. Credentials are correctly formatted: PT, MScPT, DPT, or your Canadian registration designation.

Two-way SMS inbox

Patient replies (rescheduling, questions, confirmations) land in a threaded conversation in your dashboard. Cross-staff continuity preserved.

FAQ

Common questions from rehab practices

Can I send reminders for recurring weekly sessions?
Yes. Each appointment is a separate record, so a patient with a weekly Tuesday session at 4pm receives a 48-hour and 24-hour reminder before each one. There is no recurring-appointment template to maintain. Bulk-import a treatment plan as a CSV and the reminders fire on schedule.
How does ExperClinic handle patients who finish their treatment plan?
Physiotherapy defaults to a 90-day recall window. Three months after a patient's last completed appointment, ExperClinic sends them a customizable SMS to invite them back. Athletic therapy defaults to 90 days, vestibular therapy to 60 days, occupational therapy to 90 days, speech-language pathology to 90 days. Each window is configurable per practice.
Will my associate physiotherapists each get their own review attribution?
Yes. Each practitioner is added with their own credentials. Physiotherapy ships with PT as the default suffix and supports MScPT, DPT, and "Registered Physiotherapist" as alternates. The review request SMS names the physiotherapist the patient saw. Reviews land on your single Google Business Profile (the standard pattern), but the platform attributes the visit and the feedback to the right practitioner internally.
Does pelvic floor therapy use a different SMS template?
Yes. Pelvic floor therapy is flagged as sensitive in the practice-type taxonomy. It uses the context-free SMS template that omits the practitioner name and the word "appointment" to protect patient privacy on locked phone screens. Review requests, appointment reminders, and recall messages all still go out so your practice still grows. The wording is just discreet by design.
Can I import patients and treatment plans from my current scheduler?
Yes. ExperClinic accepts CSV bulk uploads of up to 5,000 patients per file and 5,000 appointments per file. Status values are normalized: "done" becomes completed, "no show" becomes no-show. Patients can be auto-created during appointment import if they are not yet in your list.
What about massage therapy, acupuncture, or chiropractic?
Those are separate practice types in the taxonomy with their own defaults (massage therapy defaults to a 30-day reactivation window because patients book monthly; chiropractic defaults to 60 days). The same platform supports all of them with the right defaults pre-applied.
How does this integrate with my existing booking software?
ExperClinic does not currently integrate directly with Jane App, ClinicSense, or other rehab-specific schedulers. Practices use CSV bulk import to load existing patients and appointments, and add new ones through the dashboard or another upload. Direct integrations are on the roadmap.
